Step 2: Warm Up Your Sending
If you suddenly send 200 cold emails from an address that's been sending 5 per day, spam filters flag it immediately.
Warm-up schedule: Week 1: 10-15 emails per day Week 2: 20-30 per day Week 3: 40-50 per day Week 4: 75-100 per day
Use a dedicated outreach subdomain (outreach.yourcompany.com) so cold email reputation doesn't affect your main domain. This is standard practice — not shady.
Step 3: Write Like a Human
Spam filters detect patterns common in bulk email:
Avoid: ALL CAPS in subject lines, excessive exclamation marks!!!, "free" and "guaranteed," image-heavy emails with little text, identical content sent to hundreds of recipients.
Do: Write short, plain-text emails. Personalize beyond just the name — reference the specific property, city, or industry. Vary your templates so each batch isn't identical. Include a clear unsubscribe option.
